Answers to what inspectors ask most. Type a word or pick a topic.

What your first report looks like

Five steps, from a new account to a report in your client’s hands, each a minute or so to watch.

  1. Set up your accountWho you are, what you inspect, your licenses and your hours, once, so every report after this one already knows them.
  2. Schedule and start a jobPut the job on your calendar, and start it at the property with a photo of the front.
  3. Capture the inspectionTalk through the house the way you’d tell a partner, taking photos as you go, and Doxvora writes the observations.
  4. Review and wrap upRead what landed, fix what needs it, and answer what the report still needs.
  5. Generate and deliverGenerate the report, read it, and send it to your client.

Download Doxvora, and it takes you through all five on a sample job of your own.

Your plan and billing

What an inspection costs, canceling, refunds

↑ All topics
When am I charged for an inspection?

To schedule a job you need a plan or at least one inspection credit, because scheduling can send your client a confirmation and you have to be able to follow through on it. Nothing is charged until you generate the job's first report.

On a time-based plan, generating costs nothing extra. If you pay per inspection, the inspection credit is used when you generate the job's first report, and it covers every service on that job and every report it produces.

How do I cancel my plan?

Tap Manage subscription under your plan on your Plan page, and cancel it there.

Your plan runs to the end of the period you paid for. After it ends, you can still finish and deliver any job you started, and nothing you've made is deleted.

Can I get a refund?

A time-based plan isn't refunded for time you've already paid for. You can cancel it whenever you like, and it runs to the end of the period you paid for.

Inspection credits never expire. If you move to a time-based plan while you still hold some, tap Request a refund on your Plan page for any purchase of credits you haven't used any of.

Scheduling and your client

Booking a job, your calendar, what your client gets

↑ All topics
How do I schedule an inspection?

Tap + on your calendar, or tap an open time on it. Fill in New Job and tap Book job. If the booking confirmation is on, you see it before anything goes to your client.

For a re-inspection or a repair verification, switch to Return Job at the top of New Job and pick the job it's based on. The property, the client and the attachments come from that job.

Can my jobs show on my phone's calendar?

Yes. In Settings › Schedule › Calendar, turn on Add jobs to my calendar. Doxvora puts each job on the Apple calendar you pick, and gives you a link to subscribe from Google Calendar, Outlook.com or Microsoft 365. A job moves when you reschedule it and comes off when you cancel it.

What does my client get, and when?

From the moment you schedule the job, your client has a page holding your inspection agreement and any files you attached. The booking confirmation emails them the link; turn off Send booking confirmation at the foot of New Job if you'd rather not send it.

When you tap Deliver, the report goes on the same page and they're told. The link and the password always arrive in separate messages, and everyone you deliver to can see who else got it.

How do I send my inspection agreement?

Upload it once, as a PDF, on the service in Services. Every job you schedule then carries it, and it's on your client's page from the moment the job is scheduled. Uncheck it on a job to leave it off that job, or turn on Include in the report on the service to put it at the back of every report.

How do I send the report to someone else later?

Open the job's Client documents and tap Forward link. They get the link and the password in separate messages.

Capture

Working offline, typing, photos, filing

↑ All topics
Can I work offline?

Yes. Doxvora is built for working with no signal. You can start a job, capture observations and take photos, and wrap up without one. Your words become text on your phone or iPad as you talk. With no signal, you'll need to tap the location at the top left and select it yourself.

A few things need a signal to finish: filing your observations into the correct sections, and generating and delivering reports. What you do offline stays on your device and catches up once you're back in signal.

Does Doxvora keep a recording of my voice?

No. What you say is turned into text as you talk, and only the text is kept. The audio isn't saved, on your device or anywhere else.

How do I bring in external photos?

Tap Import photos on the job, pick Photos or Files, and choose several. Tick the ones that go together, tap Describe, say or type what they show, and tap Save. Repeat for each group, and Doxvora files each one from what you said.

Something landed in the wrong place.

Tap ··· on the observation and pick Change section, or Change location if the room is wrong. To move a photo, press and hold it and pick Move.

Fix the same kind of thing the same way three times and Doxvora offers to file it your way from then on.

The phone keeps getting a word wrong.

Add it to Vocabulary in Settings › In the field. Brand names and local terms are the usual culprits. Fix the same word three times and Doxvora offers to add it for you.

Your reports

Changing a report, your wording, Word

↑ All topics
How do I change a report after I've delivered it?

Open the room or section and make the change. The report then reads Out of date: tap Regenerate, then Deliver. Regenerating costs nothing.

Your client's link then shows the new report, and everyone on the page is told it changed. Until you deliver again, they keep the version they have.

Can I change the standard wording in my report?

Yes. Open Report in the menu to reword or turn off any general note, disclaimer or statement, add disclaimers of your own, and pick your cover style and color.

Can I get a Word copy?

Turn on Offer Word export in Settings › Export formats. Then on the job's Reports, tap the export arrow beside the report and pick Word. The Word copy is for your records; your client always gets the PDF.

Your account and devices

Phone and iPad, permissions, the website

↑ All topics
I got a new phone or iPad.

Sign in on it and tap Continue when it asks. Your work comes down to it. Open Doxvora on the old one with a signal first, so it sends everything it holds before it signs out.

Then turn on Face ID / Touch ID unlock in Account › Security, and pick your Apple calendar again in Settings › Schedule › Calendar.

Why does Doxvora need the camera, microphone and location?

The camera for your photos, the microphone and speech recognition to turn what you say into observations, and location to tag photos and look up the weather when you start a job. Nothing tracks you in the background.

If you said no, turn it on in your device's Settings app, under Doxvora.

What can I do on the website?

Sign in with the same email and password you use in the app to see your jobs and manage your account, your services and your plan. Your account is made in the app, and inspections are captured and delivered there.

Sign in on the website

How do I delete my account?

In Account, at the bottom, in the app or on the website. It removes everything: your jobs and reports, your clients' pages, your services and your details. A plan bought through doxvora.com ends with it, and unused inspections go too.

A plan bought through Apple doesn't end with your account. Cancel it first with Manage subscription on your Plan page.

When something goes wrong

Password, Generate, delivery

↑ All topics
I forgot my password.

On the sign-in screen, type your email and tap Forgot password?, then Send link. The link in the email lets you set a new one.

I can't press Generate.

Generate needs a signal, and it waits for photos still uploading and observations marked Waiting to be read. Both clear on their own. The amber line above the job's buttons says what it's waiting for, and Try again reads the observations right away.

Nothing is lost while it waits. If the line says something couldn't be read, email support@doxvora.com.

A delivery says Failed.

Open Client documents on the job and tap that person's line to see why. Correct the address and tap Send to this address. If the link has expired, tap Send the link again first.

My client can't open the page.

They need the whole link and the password, which come in separate messages. Client documents on the job has both, with Copy link and Copy password.

A page stays up for 30 days after you deliver, unless you changed that in Settings › Delivery. If it has expired, tap Send the link again on Client documents.

Still stuck? Ask a person.

Email support@doxvora.com with your account email and what happened. A screenshot helps. A person answers, usually within one business day.
