Getting started

1. Set up your account

Create your account on doxvora.com, confirm your email, and choose a plan. Then download Doxvora from the App Store and sign in with the same email and password. Your first five reports are free.

2. Fill in your profile and turn on your services

In the app, open the menu and set your name, license, and signature. These appear on your reports. Under Services, turn on the inspections you do: Home (TREC REI 7-6), Termite (TDA SPCS/T-5), or both.

3. Start a job

Tap New Job and enter the property address. That is the job, and everything you capture belongs to it.

4. Inspect by talking and shooting

Walk the property and speak your observations the way you would say them out loud. Take photos as you go; a photo attaches to what you just said. Your speech becomes text on the device as you speak, so it works with no signal. A basement with no bars behaves exactly like a roof with full bars. No audio is kept; the transcript is the record.

Work room by room. When you finish a room, move on. Doxvora organizes what you captured into the right sections of the report for you.

5. Draw the structure diagram (termite)

For a termite inspection, open the structure diagram, pull the aerial, trace the structure, and mark what you found. It goes on the T-5 report.

6. Generate the report

When you have captured the inspection, generate the report. Doxvora turns your field language into clean, standards-aligned wording and places each observation in the correct section. Generation needs a connection; if you are offline it runs as soon as you are back online.

7. Review and regenerate

Read the draft. It is AI-assisted, so review it like your own work. You are the professional of record. Change anything you want and regenerate; Doxvora only re-does the parts whose inputs changed.

8. Share the report

Share the finished report with your client through the share sheet. Sharing is the billable step. Generating and reviewing do not bill, and your first five shared reports are free. Re-sharing the same report does not bill again.

9. Finalize the job

When the job is done, finalize it. Finalizing locks the record so it cannot change, keeps your finished reports, and moves the full detail to secure cloud storage. A finalized job is read-only.

10. Keep your list clean with Archive

Over time, finished jobs pile up. Archive moves a finalized job off your devices into the cloud. Nothing is deleted, it just clears your working list. Find archived jobs under Archived in the menu, peek at any report, and restore a job to your devices whenever you need it. You can also set auto-archive (default 180 days) to do this for you.

11. Get the raw data for a job

Need everything for a job: the reports, your observations, the diagram, and the full-resolution photos with their metadata? Request Job data on the job and Doxvora emails a secure link to your account email. The photos come foldered by room, and your observations come as a plain room-ordered list with capture times.

12. Manage your subscription and devices

Billing, plan changes, and cancellation live on doxvora.com. Doxvora runs on one phone and one tablet at a time. To move to a new phone, just sign in on it and confirm. The old one signs out and your work syncs down.

Getting started questions

What is Doxvora?

A voice-first inspection app for licensed home and termite inspectors. You speak your observations and take photos as you walk the property; Doxvora transcribes on the device and drafts a standards-aligned report you review and deliver.

How do I create an account?

Accounts are created on doxvora.com. Once your account is set up, download the Doxvora app and sign in with the same email and password.

Do I sign up in the app?

No. Signup and billing live on the website. The app signs you in and unlocks based on your subscription.

Accounts and devices

How many devices can I use?

One active phone and one active tablet at a time, the normal setup for one inspector. Both can be active together.

Can I run two phones on one account?

No. Doxvora is licensed for a single operator, so only one phone (and one tablet) is active at a time. Each additional inspector needs their own account.

I got a new phone. How do I move Doxvora over?

Sign in on the new phone and confirm the move. Doxvora activates there and signs out your old phone, and your work syncs down from the cloud. Nothing is lost.

Why did I get signed out on my other device?

Because Doxvora was activated on a newer device of the same type. Only one phone (and one tablet) is active at a time. Sign in again on the device you want to use, and it becomes the active one.

Free trial and billing

How does the free trial work?

Your first five reports are free. When you share the fifth one, your selected plan starts.

Why didn't I get the free reports?

The free trial is a one-time offer per customer. If our records show this account, device, or card already used it, the account starts on your selected plan instead of the free trial.

What are the plans?

Per-report, monthly, and annual. You choose at signup and can change or cancel anytime on doxvora.com.

Where do I manage or cancel my subscription?

On doxvora.com, under your account, through the billing portal. Cancellation stops future renewals and takes effect at the end of your current billing period, so you keep access through the time you have paid for.

Do you offer refunds?

Your first five reports are free, so you can evaluate Doxvora before you pay anything. Refund terms are set out in full in the Terms of Service. Reach out to support@doxvora.com with any billing question.

Doing an inspection

Does capture work without a signal?

Yes. Capturing observations and photos and transcribing your voice all happen on the device and work offline. Drafting the report and syncing happen when you're back online.

Is my voice recorded?

No. Your speech is turned into text on the device as you speak, and the transcript is what's kept. No audio file is stored.

Why does Doxvora need camera, microphone, and location?

Camera for inspection photos, microphone for your spoken observations, and location only to stamp each photo with where it was taken. Doxvora never tracks your movement.

Reports

How do I create the report?

After you capture your observations, generate the report. Doxvora drafts the language and places each observation in the right section. Review it, and regenerate if you change something.

When am I billed for a report?

When you first share it. Generating and reviewing don't bill; sharing the finished report is the billable step.

What does Finalize do?

It locks the job so the record can't change, keeps the finished reports, and moves the full detail to secure cloud storage. A finalized job is read-only.

Archive and your data

What is Archiving?

Archiving moves a finalized job off your devices into the cloud to keep your list clean, without deleting anything. You can browse archived jobs, peek at a report, and restore any of them.

What is auto-archive?

An optional setting (on by default at 180 days) that moves finished jobs off your device after the window you choose. The cloud keeps everything; nothing is deleted.

Can I get all the raw data for a job?

Yes, it's called Job data. Request it on the job and Doxvora emails a secure link to your account email. The zip holds the report PDFs, a room-ordered list of your observations with their capture times, the structure diagram, and the photos foldered by room with their metadata intact.

How long do you keep my data?

As long as you keep it. Doxvora doesn't set retention periods or advise how long to hold your records. That's your professional judgment. Deleting your account removes your data.

Troubleshooting

My report won't generate.

Generation needs a connection. If you're offline, the request queues and runs when you reconnect. If it persists online, contact support@doxvora.com.

I forgot my password.

Use Forgot password on the sign-in screen; a reset link goes to your email.
