This Privacy Policy explains how Doxvora Inc collects, uses, and protects your information when you use the Doxvora mobile application and our website at doxvora.com. The same data practices apply across both.
1. Information We Collect
We collect only what is necessary to operate Doxvora and meet applicable professional standards.

Subscription billing is processed on the website only. Doxvora does not store, transmit, or access full credit card numbers, CVV codes, or bank account details — these are handled directly by our payment processor. Device info and usage analytics are optional; all other categories are required to deliver core functionality.
2. How We Use Your Information
We use the information we collect to operate, improve, and protect Doxvora. Specific uses include:
- Capturing, transcribing, organizing, and delivering inspection documentation
- Enforcing applicable industry standards on inspection reports
- Verifying professional credentials and insurance status where required
- Processing subscription payments and managing account billing
- Improving our services and AI accuracy
- Communicating with you about your account and platform updates
We will never sell personally identifiable information (PII), including property addresses, inspection results, or client information. We may aggregate and de-identify data derived from platform activity and use it for our own purposes, including improving our services. Aggregate data cannot be used to identify any individual, property, or inspection.
3. Voice, Photo, and Location
Voice. Recordings are captured only when you start an inspection session. Audio is transmitted securely to a third-party speech-to-text service for transcription, then deleted within 30 days. Transcripts are stored with your inspection record.
Photos. Images captured through the app are automatically tagged with GPS coordinates and a timestamp for compliance recordkeeping. Photos are stored in encrypted cloud storage and may be analyzed by third-party AI services to assist with classification. AI providers process images only and do not retain them.
Location. GPS data is collected only during active inspection sessions to embed coordinates in photo metadata and verify inspector presence. Location is not collected when the app is closed or in the background.
You are responsible for informing property occupants when recording occurs, in accordance with applicable state law.
4. Data Sharing
We share data only with service providers necessary to operate Doxvora. All providers are bound by data processing agreements that restrict use of your data to service provision.

We may disclose information if required by law or legal process, to protect the rights or safety of our users or the public, or in connection with a merger, acquisition, or sale of assets — with notice to affected users.
5. Data Retention
- Inspection reports and photos — retained 4 years from the date of inspection to support potential complaint or claim response
- Voice recordings — audio deleted within 30 days of transcription; transcripts retained with the inspection record
- Account data — retained until account deletion is fulfilled (within 30 days of request)
- Billing records — retained 7 years to satisfy tax and financial recordkeeping obligations
- Usage analytics — aggregated and de-identified after 12 months
Upon account deletion, personal data is purged from active systems within 30 days. Backup copies are rotated within 90 days.
6. Your Rights and Choices
You may:
- Access — request a copy of personal data we hold about you
- Correct — request correction of inaccurate data
- Delete — delete your account and personal data from within the app at Settings → Account → Delete, or by contacting us (subject to legal retention requirements)
- Export — request your inspection records in PDF or JSON format
- Opt out — disable usage analytics in Settings → Privacy
- Revoke permissions — withdraw microphone, camera, or location access in your device settings at any time
Texas residents have rights under the Texas Data Privacy and Security Act (TDPSA), including the right to know, correct, delete, and obtain a portable copy of personal data, and to opt out of certain processing. California residents have comparable rights under the CCPA. Residents of other states with applicable privacy laws have similar rights.

7. Security

Report suspected vulnerabilities to privacy@doxvora.com. We acknowledge reports within 48 hours.
8. Children's Privacy
Doxvora is a professional tool intended for licensed practitioners and is not directed at children under 13. We do not knowingly collect personal information from children. Contact us at privacy@doxvora.com if you believe a child's data has been collected.
9. Changes to This Policy
We may update this policy as our platform evolves. When we make material changes, we will notify you by in-app notification and email at least 14 days before the changes take effect. Continued use of Doxvora after the effective date constitutes acceptance of the revised policy.
