Doxvora Privacy Policy

1. The short version

• We collect what is needed to run your Inspector Account and your work: your account and professional details, the jobs you create (observations, photos, notes and reports), and your plan.
• Your work is stored on your device and synced to your account as you make it, so it reaches your other devices and survives a lost phone.
• To draft report language, the text of your observations is sent to our AI provider. Photos are never sent to the AI.
• We use service providers to run Doxvora. We do not sell your data, and we do not track you across other apps or websites.
• You can delete your Inspector Account at any time, from the app or the website.

2. What we collect

Your account and professional details. Your email address and password (the password is held only in hashed form by our authentication provider), your name, phone number and signature, and your credentials and business details.

Your work. The jobs you create and what you record in them, such as observations, photographs and notes, the reports you produce or upload, and the documents you attach to a job.

Information about the property and the people involved. The details you enter to do the work: the property's address, and the names and contact details of your client and of anyone else you put on a job, such as an agent. You are responsible for having a proper basis to provide this information; we process it on your behalf.

Your devices. Basic information about each device you sign in on and an identifier for it, used to keep your account to one device of each type and to prevent abuse.

Location. If you allow it, Doxvora uses your device's location to record where each photo was taken and to look up the weather at the property. It is not used in the background or to track you.

Voice. Speech is transcribed to text on your device as you speak. Only the text is kept. No audio is stored or uploaded.

Purchases. Plans bought in the app are handled by Apple, and plans bought on our website by our payment processor. We receive a record of the purchase and your plan's status, never your full card details.

Diagnostics. When the app fails, a crash or error report is sent to our diagnostics provider so we can fix it. It does not carry the content of your work. We use no advertising or third-party analytics tools.

3. How we use it

To provide Doxvora: to store and sync your work, draft and produce your reports, send what you choose to send to the people you choose, run your account and your plan, prevent abuse, and support you.

4. Who receives it

The people you send to. The people you choose receive what you send them through Doxvora, on your behalf and at the email addresses you enter: messages about an appointment, such as a booking confirmation, and a link to a password-protected page that holds the documents you send and your reports once you deliver them.

Service providers. Companies that run parts of Doxvora for us: hosting, AI drafting, payments, email, crash reporting, weather and maps. They act on our instructions and may not use your data for their own purposes.

We do not sell personal information or share it for advertising.

5. AI drafting

The text of your observations is sent through our own server to our AI provider, which drafts report language and places each observation where it belongs. Photos are not sent. Under our provider's terms, this data is not used to train its models. The AI works only from what you recorded; it does not invent observations, and you review everything before it goes out.

6. Where your data lives

Your work lives on your device and in your account, and is processed and stored in the United States.

7. Your clients' information

Your work contains information about your clients, the property and the people involved. You are responsible for it and for your relationship with your clients, and for keeping your own records as your profession and the law require. Doxvora holds it on your behalf.

8. Keeping and deleting

Doxvora does not delete your work on its own and sets no retention period. It stays until you delete it or your Inspector Account.

Deleting your Inspector Account removes your sign-in, your profile, your professional details and the work that was yours alone, and clears your devices the next time they connect. It cannot be undone. We keep the record of the inspections charged to you, and a limited record used only to prevent abuse.

9. Security

Data is encrypted in transit, and access to your data is limited to your account. Your sign-in is kept in the iOS Keychain and can be protected by Face ID or Touch ID. No system is perfectly secure, but we work to protect your data.

10. Your choices and rights

• Update your profile and professional details in the app or on the website.
• Doxvora needs your camera, your microphone and speech recognition to work, and it uses your location to record where each photograph was taken. You can turn any of them off in iOS Settings, but the app cannot do its job without them.
• Delete your Inspector Account from your account screen, in the app or on the website.

Depending on where you live, you may have other rights to access or delete your information. Write to privacy@doxvora.com to use them.

11. Children

Doxvora is for professionals. It is not directed to children under 16, and we do not knowingly collect their information.

12. Changes

When this policy changes we post the new version here with a new effective date, and give reasonable notice of material changes.
