Your plan and billing
What a report costs, canceling, refunds
When am I charged for a report?
To schedule a job you need a plan or at least one report credit, because scheduling can send a notice of the appointment and you have to be able to follow through on it. Nothing is charged until you generate the job's first report.
On a monthly plan, generating costs nothing extra. If you pay per report, the report credit is used when you generate the job's first report, and regenerating it after that costs nothing.
How do I cancel my plan?
Tap Manage subscription under your plan on your Plan page, and cancel it there.
Your plan runs to the end of the period you paid for. After it ends, you can still finish and deliver any job you started, and nothing you've made is deleted.
Can I get a refund?
A monthly plan isn't refunded for time you've already paid for. You can cancel it whenever you like, and it runs to the end of the month you paid for.
Report credits never expire. If you move to a monthly plan while you still hold some, tap Request a refund on your Plan page for any purchase of credits you haven't used any of.
Scheduling and the claim
Scheduling a job, the claim, your client
How do I schedule a job?
Tap + on your calendar, or tap an open time on it. Fill in New Job, with the claim's details, and tap Book job.
Can my jobs show on my phone's calendar?
Yes. In Settings › Schedule › Calendar, turn on Add jobs to my calendar. Doxvora puts each job on the Apple calendar you pick, and gives you a link to subscribe from Google Calendar, Outlook.com or Microsoft 365. A job moves when you reschedule it and comes off when you cancel it.
Who hears about the appointment?
Nobody, unless you turn on Send booking confirmation at the foot of New Job. Then the claim's contact and the insured, whichever you tick, get a plain notice of when and where you'll be. No page and no files go with it.
How do I send the report to someone else later?
Open the job's Client documents and tap Forward link. They get the link and the password in separate messages.
Capture
Working offline, readings, photos, filing
Can I work offline?
Yes. Doxvora is built for working with no signal. You can start a job, capture observations and take photos, and wrap up without one. Your words become text on your phone or iPad as you talk. With no signal, you'll need to tap the location at the top left and select it yourself.
A few things need a signal to finish: filing your observations under their headings, and generating and delivering reports. What you do offline stays on your device and catches up once you're back in signal.
Does Doxvora keep a recording of my voice?
No. What you say is turned into text as you talk, and only the text is kept. The audio isn't saved, on your device or anywhere else.
What are the readings and labels under an observation?
When you say a measurement, such as a moisture reading or a crack's width, Doxvora pulls it out as a reading: the value, its unit and what it was taken on.
It also marks what you saw, the cause you give and what you recommend, which is how each place in the report shows its cause and its recommendation. Both show under your words; tap one to correct it. They're read again whenever you change your words.
How do I bring in external photos?
Tap Import photos on the job, pick Photos or Files, and choose several. Tick the ones that go together, tap Describe, say or type what they show, and tap Save. Repeat for each group, and Doxvora files each one from what you said.
Something landed in the wrong place.
Tap ··· on the observation and pick Change section, or Change location if the place is wrong. To move a photo, press and hold it and pick Move.
Fix the same kind of thing the same way three times and Doxvora offers to file it your way from then on.
The phone keeps getting a word wrong.
Add it to Vocabulary in Settings › In the field. Brand names and local terms are the usual culprits. Fix the same word three times and Doxvora offers to add it for you.
Your reports
The summary, changing a report, your seal
Why does Generate ask me to review a summary?
The report opens with your Observations, Cause and Recommendations, which Doxvora drafts from what you said. Generate shows you that draft first, to read and edit. A part you edited is never rewritten.
If your words change afterward, Generate asks you to review it again before the next report.
How do I change a report after I've delivered it?
Open the place and make the change. The report then reads Out of date: tap Regenerate, then Deliver. Regenerating costs nothing.
The report's link then shows the new report, and everyone on the page is told it changed. Until you deliver again, they keep the version they have.
Can I change the standard wording in my report?
Yes. Open Report in the menu to reword or turn off any limitation, or add your own. Some limitations appear only on a job whose claim names their peril.
Where do my seal and signature come from?
Your seal, license, firm and registration are on the service in Services, and your signature is in Account. All of them print in the report's signature block.
Can I get a Word copy?
No. A loss report is a PDF, and so is the copy you keep.
Your account and devices
Devices, permissions, the website
I got a new phone or iPad.
Sign in on it and tap Continue when it asks. Your work comes down to it. Open Doxvora on the old one with a signal first, so it sends everything it holds before it signs out.
Then turn on Face ID / Touch ID unlock in Account › Security, and pick your Apple calendar again in Settings › Schedule › Calendar.
Why does Doxvora need the camera, microphone and location?
The camera for your photos, the microphone and speech recognition to turn what you say into observations, and location to tag your photos. Nothing tracks you in the background.
If you said no, turn it on in your device's Settings app, under Doxvora.
What can I do on the website?
Sign in with the same email and password you use in the app to see your jobs and manage your account, your services and your plan. Your account is made in the app, and your jobs are captured and delivered there.
How do I delete my account?
In Account, at the bottom, in the app or on the website. It removes everything: your jobs and reports, their pages, your services and your details. A plan bought through doxvora.com ends with it, and unused report credits go too.
A plan bought through Apple doesn't end with your account. Cancel it first with Manage subscription on your Plan page.
When something goes wrong
Password, Generate, delivery
I forgot my password.
On the sign-in screen, type your email and tap Forgot password?, then Send link. The link in the email lets you set a new one.
I can't press Generate.
Generate needs a signal, and it waits for photos still uploading and observations marked Waiting to be read. Both clear on their own. The amber line above the job's buttons says what it's waiting for, and Try again reads the observations right away.
On a loss job it also needs at least one observation filed, and it opens your summary for review before the report.
Nothing is lost while it waits. If the line says something couldn't be read, email support@doxvora.com.
A delivery says Failed.
Open Client documents on the job and tap that person's line to see why. Correct the address and tap Send to this address. If the link has expired, tap Send the link again first.
Someone can't open the report's page.
They need the whole link and the password, which come in separate messages. Client documents on the job has both, with Copy link and Copy password.
A page stays up for 30 days after you deliver, unless you changed that in Settings › Delivery. If it has expired, tap Send the link again on Client documents.
Still stuck? Ask a person.
Email support@doxvora.com with your account email and what happened. A screenshot helps. A person answers, usually within one business day.
